Guidelines

  • only total matters, breakdowns by category are only helpful to us, not required
  • only single items over $1000 are considered 'equipment', so pc's,monitors, printers are 'supplies'
this explains why equipment is apparently so low, when clearly we bought 'equipment'
the typical pc purchased in summer 2006 was
*round 1 - summer - P4/1.5+/256/20gb/cd/sound. HP D510S. small form factor
*round 2 - fall - celeron2300 HP D530S. this purchase was caused by an upgrade in the biz department to Adobe InDesign CS2. this absolutely needed either the p3's they had to be upgraded to 512 ram or replaced. argument was either 1) upgrade for ~$200 or replace for ~$250. David and skip agreed it was an easy decision to replace. so 100 more machines were purchased in round 2. all of A wing at ahs was replaced in 2 days.
*interesting note: to deploy, we produced a basic XP Pro install with all site license products and our basic config to each teacher. and gave them 2 days to 'perfect' it for their room/classes. this final image became the base image for each room.


  • only equipment gets a green serial tag and logged in Q&A by Louann Cagle
  • Mr Woolly never wants departments arguing over 'who' is paying, so he has authorized me typically to buy all toner,ink,consumables, and then not forced the issue when over budget
  • I have never "charged back" to others, unless unusual and they felt it important enough to pay for. (i.e wireless phone headsets)

supplies are biggest problem for us and it's impossible to stop, but we need to work to contain
  • pcounter is one attempt to help all users understand "costs $ to print"
  • I believe most would be shocked at amount of printing costs.

sy2008, installing pcounter to assign balances to users for printing costs.

  • we may not ever charge students, but we want to begin a process of "cost" to avoid waste
  • pcounter has a windows app that we could have libraries collect additional $ after balance is used or if user wants to print personal items
  • at print time, a dialogue box can popup to report to user their balance, the cost of this job, and a confirmation that they want to spend the $'s
  • different costs can be associated to color, special paper, different printers.
  • reports can tell us how much color/black printing occurred during periods
  • time will be required to establish appropriate numbers for normal use which account for special situations
    • science fair
    • history day
    • seniors typically write lots of papers

  • becky pays for her own equipment, and occasionally supplies like toner
  • pretty much everyone else. we pay (library, lab, office)
  • band/music/pac special requests go through david woolly
  • athletics requests go through Dr. McSpadden
  • end of year, supplies requests from teachers are estimates of their use, not actual order!
  • we need to internally track purchases and po numbers for sy2008. (peachtree purchased for that reason)

  • thinks it may be worth it from a productivity point of view.
  • machines in place are sufficient
  • 15" or 17" are only sizes
  • 15" would seem sufficient to me since no screen will be used for windows itself, only fastlane.
  • Most vendors would loan us one.
